Information that was discussed at the first meeting:

Our May 1 meeting went well and over 20 attended.  We discussed the tentative itinerary.  At this point, it looks like we will be flying from either the Washington area or Pittsburgh and the flight will have one layover.  We discussed the airport procedure and that travelers will have to handle their own luggage from the Bus to the airport counter where they will pay $25 for their first checked bag.  Second bags are more, but most travelers should get by with one checked bag, and one carry on (the carry on is free, but there are size limitations).  There were several questions about the insurance that is available.  I have relayed this to Grand American Tours, and they will give us the information as to what the insurance covers.  Insurance is not available for purchase until we finalize our travel plans in December, so we have plenty of time.  We have 19  folks who have paid their deposit, and we only need 30 to go, so we are confident that this trip will go. This adventure is open to folks of all ages.  We have had many families show interest, so we anticipate travelers of all ages.

Regarding the payments, if travelers felt more comfortable sending a check or money order, they could do that instead. They would just make it out to Grand American Tours and send it to Grand American Tours, 5 S. Morton Avenue, Morton, PA 19070. The deposit is refundable up until the final payment date, and hopefully, that will help ease their minds.

Regarding airfare, we can certainly accommodate guests traveling from other air cities and will be able to incorporate that into their cruise tour package once the cruise line, date, and pricing are in place.

Regarding the luggage, once we have the group airfare booked, we will gladly share the airline’s website that contains the checked bag and carry-on information, so everyone knows what to expect.

Regarding insurance, I have attached the Travelex trip insurance information above. I would let your guests know that they should pay for the insurance when their initial deposit is applied to the chosen cruise line and date so that they make sure that they have coverage for pre-existing medical conditions.

It seems that if people wait the 21 days that they have to purchase the insurance and still have coverage for pre-existing medical conditions, they forget about it! That said, even though you have guests that are calling in their deposit of $350 per person with Grand American Tours now, the actual deposit date will be set once you have chosen the cruise line date and have the pricing available. At that point, Grand American Tours will reach out to everyone who has paid the initial deposit and will go over any specific requests and will inquire if they would like to purchase the trip insurance at that time.
